Reconciling your fuel reservations is a key part of managing your TruckSmarter Fuel partnership. If there is incorrect data in your TruckSmarter Fuel dashboard, you can submit an adjustment to have your transactions fixed accordingly. This article will cover how your stores should reconcile the daily TruckSmarter reservation report.
1. Reconcile daily fuel reservations
If you are reconciling at the store level, your store manager will receive a daily report of all TruckSmarter Fuel reservations that have occurred in the previous 24 hours.
By referencing the TruckSmarter reservation report or the reservations displayed in the TruckSmarter Merchant Portal, confirm that each reservation matches a transaction within your point of sale system with the same pump number and gallons filled.
2. Adjusting incorrect reservation data
If a TruckSmarter reservation has the incorrect number of gallons, incorrect pump number, or is not found within your point of sale records, you can adjust the incorrect data. To do so, find the transaction within the TruckSmarter Merchant Portal and submit an adjustment for the offending transaction.
To create an adjustment, click the Dispute transaction button:
Describe the issue inside the Transaction modal by including details such as:
- Correct gallons
- Point of sale transaction record
- Any additional information related to the issue
TruckSmarter will respond to the adjustment request within 24 hours with additional details or follow-up questions.
