How to issue debit cards to team members

TruckSmarter users can easily issue and manage debit cards for their team members directly through the TruckSmarter app. This article will explain in detail how you can better control the finances for you and your fleet using the TruckSmarter debit card. Please note that this functionality is only available for active TruckSmarter Factoring users.

Issue a debit card

First, navigate to the Factoring tab and open the Banking menu. Search for and tap open the Team debit cards menu. When ready, tap Issue a debit card to begin the process.

If you are part of an organization and you have team members in your fleet, you will see a list of the existing members and admins. If necessary, you can invite a new team member at this step. If you would like to learn more about managing the team members on your fleet, please read the Managing your fleet article.

Alternatively, if you do not want to send a card to a specific team member, you can also issue a company card instead. See the Issue a company card section for more information.

In this example we will select an existing team member, Driver Member 1. We have set their Purchase limit to $500 per month. The Frequency can be adjusted to be either Daily, Monthly, or Don't Allow — see the Frequency definitions section to learn more. Next, we enter in the Date of birth and Mailing address of Driver Member 1: Frame 2.png

Once all of the details have been entered, you can review the final details and verify that all of the information is correct. Upon submission, the debit card will begin the process of being mailed to the team member — the card should take between 7–10 business days to arrive by mail.

Activating a debit card

After the card has arrived, it will have to be activated before it can be used. To activate the card, you must enter both the expiration date and CVV2. Once the card has been successfully activated, you will be prompted to enter a 4-digit PIN. 

Please note that in this example we are activating the card on behalf of Driver Member 1, but the team member can also activate it themselves by calling the Visa activation number listed in the card mailer.

Editing card limits

You can easily edit and update both the Purchase limit and ATM withdraw access for any card. To do so, open the card details and navigate to the Edit card limits menu. From there, the Amount and Frequency can be modified accordingly. Tap the Update limit button to save your new limits. Afterwards, the updated limits will be immediately shown beneath the card and will take effect immediately.

Note that there are spending limits across all cards associated with the bank account — these limits are explained in detail in the Transfer and ATM limits article. In the case of team debit cards, there is a team-wide limit of $5,000 per day. This means that all purchases across all cards on the account cannot exceed $5,000 per day.

How to enable unlimited purchases

If you wish, you can increase the Purchase limit to have an unlimited* amount. To enable unlimited purchases, you must navigate to the card and tap the Edit card limits button. From there, enable the Purchase limit checkbox for No spending limit. When this checkbox is enabled, the card will be able to make unlimited purchases on a daily basis up to the $5,000 account-wide limit that is outlined in the Transfer and ATM limits article.

Viewing card transactions

Once the card has been used, the Recent transactions section will include a list of transactions that have been made with the card for both card purchases and ATM withdrawals. Simply tap on a transaction to see specific details about the transaction.

Issue a company debit card

If you would prefer to issue a debit card that is needed for more general purposes, you can do so by navigating to the Factoring tab, opening the Banking menu, selecting Team debit cards, and tapping the Issue card button.

From there, select the Company card menu to begin. Similar to team member debit. cards, you must enter the Amount and Frequency for both the Purchase limit and ATM withdraw access. Next, you must enter the Nickname and Mailing address for the card.

💡 Note that the Nickname will be embossed on the physical debit card but the name shown on the digital card in the TruckSmarter app will display the account owner's name.

Finally, review the details and confirm that all of the information is correct. Once submitted, the debit card will take 7–10 business days to arrive in the mail. Once it arrives, you will have to activate the card to begin using it.

Frequency definitions

There are three types of Frequency that can be set for either Purchase limit or ATM withdraw access. This table describes the purpose of each Frequency:

Frequency Definition
Daily The limit resets every day at 12AM Eastern Time.
Monthly The limit resets on the 1st of each month at 12AM Eastern Time.
Don't Allow The card is disabled for these types of purchases.
